Our Terms and Conditions have been developed on a foundation of compassion, kindness and fairness. They are there to hold us both to account for our time together by setting mutual boundaries and expectations. Agreeing to our Terms and Conditions helps us both, by protecting our business, and by being more intentional about valuing each other’s time. Student Cancellation Policy
To cancel your booking on a course, please get in touch with us at least 48 hours before the course is due to commence by emailing us at hello@bodyworkstraining.co.uk.

We operate a 14-day booking cancellation period. This means that if you cancel your place on a course within 14 days of booking, you are entitled to receive a full refund. No questions asked!
If you are outside of the 14-day booking cancellation period, you may still be eligible for a full or partial refund. You will be eligible for a full refund if: (1) you notify us of your cancellation at least 48 hours in advance of the course, and (2) your place on the course is booked by another student. We will always try our best to find a student to take your place - for example, by advertising your place through our social media channels, and getting in touch with students on our waiting list.
However, if: (1) you notify us of your cancellation at least 48 hours in advance of the course, but (2) we cannot find another student to take your place on the course, you will be eligible for a partial refund of 50% of your course fee. We promise to be transparent and communicate with you openly at all times during this process.
Unfortunately, if you do not notify us of your cancellation at least 48 hours in advance of a course, and cannot provide a justification for not getting in touch or non-attendance at a course (please see our Mitigating Circumstances policy for further information), you will be entitled to neither a full nor partial refund.
Student Transfer Policy
We operate a 14-day course transfer period. This means you are entitled to transfer to an alternative course within 14 days of booking your course (subject to availability and enrolment requirements). We kindly ask that you get in touch with us at hello@bodyworkstraining.co.uk to request a transfer.
Please note that if the fee for the course to which you are transferring is higher than the course onto which you originally booked, you will be required to pay the difference in balance. If the fee for the course to which you are transferring is less than the course onto which you originally booked, you will be entitled to a refund of the difference.

Enrolment Policy
Bodyworks Training is proud to offer a range of introductory, intermediate and advanced level training courses in massage, beauty and wellbeing therapies.
Whilst our introductory courses are suitable for all levels of experience and qualification, our intermediate and advanced courses have enrolment requirements that students must meet to be eligible to attend the course. You can find the enrolment requirements for each of our courses by clicking on the title of a course in the ‘Book Courses’ section of our website.
If you are unsure whether your qualifications meet the enrolment requirements for the course you would like to attend, pop us an email at hello@bodyworkstraining.co.uk. We’ll help you as best we can!
Example/ Our advanced massage courses require that students have a minimum of a level 3 qualification in full body or sports massage. This will include a qualification in anatomy, physiology and pathology, as well as at least 100 hours of massage practice, and be accredited by a professional body such as ITEC or VTCT.
If the level 3 qualification you have undertaken does not include the minimum number of practical hours required, you will be ineligible to undertake our advanced massage courses.
When you book an intermediate or advanced level course, you will be required to check a box confirming that your qualifications meet the enrolment requirements for the course. You will be asked to send copies of your relevant qualifications to hello@bodyworkstraining.co.uk within 48 hours of booking - or upon booking if your course is due to commence within 48 hours.
If you are unable to provide copies of your qualifications within these timeframes - for example, if you have just qualified and are waiting for your certificates to be delivered - pop us an email at hello@bodyworkstraining.co.uk, to let us know. We will do our best to accommodate you!
Once we receive your certificates, a member of our team will review them, and confirm with you via email whether your qualifications meet the enrolment requirements for the course.
If your qualifications meet the requirements, happy days – you’re all set!
However, if your qualifications do not meet the requirements for your course, we will have to cancel your booking. We will notify you of this via email if the course is due to commence more than 48 hours in advance of our cancellation, and also via phone if the course is due to commence within 48 hours of our cancellation.
In this case, you will be entitled for a full refund of your course fees, or to transfer to an alternative course (subject to availability and enrolment requirements). We promise to be transparent and communicate with you openly at all times during this process. We are also always happy to advise you on the qualifications you need to attend your desired intermediate or advanced level course.

Worst case scenario, if: (1) you do not provide us with copies of your qualifications within these timeframes, and, (2) you do not email us to let us know the reason for not providing them, Bodyworks Training reserves the right to cancel your booking. You will not be able to attend the course you booked. We will notify you of this via email if the course is due to commence more than 48 hours in advance of our cancellation, and also via phone if the course is due to commence within 48 hours of our cancellation.
In this case, you may be eligible for a full or partial refund of your course fees (subject to mitigating circumstances - please see our Mitigating Circumstances policy for further information), or to transfer to an alternative course (subject to availability, enrolment requirements and mitigating circumstances). You will need to get in touch with us at hello@bodyworkstraining.co.uk for further information.
Mitigating Circumstances
Policy
We understand that things change. You or a family member may become unwell. You may suffer a bereavement. Or you may simply be finding it difficult to make ends meet.
If you experience a change in circumstances that means you can no longer attend a course, you may be eligible for a full or partial refund, or to transfer to an alternative course (subject to availability and enrolment requirements).

We kindly ask that you get in touch with us at hello@bodyworkstraining.co.uk as soon as possible. (Ideally, we ask that you contact us at least 48 hours in advance of the course you were due to attend - but don't worry too much about this.)
We review all circumstances on a case-by-case basis. We may ask you for some details or evidence of your change in your circumstances - for example, a note from your doctor or physician if you become unwell. We appreciate that your circumstances may be sensitive. So we will only ask for the information necessary for us to make a decision about your case.
Our promise is to always act with the utmost sensitivity, compassion, support and discretion. We will communicate fully, openly and transparently during this process, and let you know about our decision and the outcome of your full refund, partial refund, or transfer, as soon as possible.
Course Cancellation Policy
We understand that things change. Sometimes things change for us, too. The tutor leading your course may become unwell, and we may not be able to find another tutor to cover. Or too few students may be booked onto a course for us to run it to the highest teaching and learning standards (we need a minimum of four students to run a course).
In any case, if we experience a change in circumstances that means we can no longer deliver a course at the date, time or location specified on your booking confirmation, you will be entitled to either: (1) a full refund of the course fee, or, (2) to transfer to an alternative course (subject to availability and enrolment requirements).
Transfers/ Please note that if the fee for the course to which you are transferring is higher than the course onto which you originally booked, you will be required to pay the difference in balance. If the fee for the course to which you are transferring is less than the course onto which you originally booked, you will be entitled to a refund of the difference.
We will notify you as soon as we know we can no longer deliver a course – via email if the course is due to commence more than 48 hours in advance of our cancellation, and also via phone if the course is within 48 hours of our cancellation. We promise to communicate with you fully, openly and transparently at all times in this process.
Complaints Policy
At Bodyworks Training, we have an unparalleled dedication to our students, and commitment to the highest quality of teaching standards. But sometimes things go wrong. In these cases, we are committed to developing and improving our standards.

If you have a complaint, please contact us with the details at hello@bodyworkstraining.co.uk. We have eight weeks to consider your complaint. If we have not resolved your complaint within this timeframe, you may complain to the Federation of Holistic Therapists (FHT) - the professional body who accredits our courses.

What happens next:
1/ We will send you an email confirming and acknowledging receipt of your complaint. We will send this within five days of receiving your complaint. We will enclose a copy of this procedure for your awareness.

2/ We will investigate your complaint. We will invite you to a meeting to discuss the issue and endeavour to resolve your complaint. (This may take place via a video-meeting platform, such as Zoom, or via telephone.) We will organise a meeting with you within fourteen days of sending you the acknowledgement email.
3/ We will write an email confirming what took place during the meeting, and any resolutions that were agreed. We will send this to you within three days of the meeting.

4/ If you do not want to meet, or a meeting is not possible, we will send you a detailed written response to your complaint, including suggestions for resolutions to the matter. We will send this within twenty-one days of sending you the acknowledgment email.

5/ If you are not satisfied with our response, please contact us again to request a review at hello@bodyworkstraining.co.uk. We will arrange for someone unconnected with the matter to review the decision.

6/ Following this independent review, we will write to you confirming our final position on your complaint and explaining our reasons. We will send this to you within fourteen days of receiving your review request.

7/ If you are unsatisfied with our response, you may contact the Federation of Holistic Therapists (FHT) about your complaint. You can contact them through the FHT's website at fht.org.uk. You will need to raise your complaint to the FHT within four weeks of receiving a final response from us regarding the matter.
